FleetMinder has been adopted by councils, workshops, fleet operators and public bodies throughout Europe. Prior to the RSA taking over responsibility for commercial vehicle testing and installing their own proprietary system FleetMinder had been used by the Department of Environment in 93% of all Irelands VTN (DOE) test centres (Ireland’s equivalent to VOSA testing).
Wicklow County Council Case Study
In January 2010 we conducted an extensive marketing campaign to county councils in Ireland. The response was quite overwhelming. One of the responses came from Wicklow County Council.
Pat Clark, the chief engineer for Wicklow County Council contacted us and we discussed the role that Fleetminder could play in his department. Pat had specific requirements that he needed the system to do. These requirements related to the necessity of retaining accurate fleet maintenance records that if required, could be easily produced.
It was important for Pat that Fleetminder was not deemed to be a ‘stick’ to beat the engineers with but rather a tool to assist him and his staff with the task of keeping accurate compliancy records.Pat had researched and tested various other systems before Fleetminder and felt that none or the other systems could handle his prerequisites of:
- Simple Job Card creation
- Controlling Stock & Labour on Jobs
- Accurate Stock Control
- Monitoring Vehicle History
So naturally there was a large degree of scepticism at out first meeting.
After we completed our presentation and Q&A session most of the concerns were addressed and it was agreed that we would install Fleetminder on a trial basis on-site for one month.
During the trial period, Pat and his staff fully embraced the Fleetminder system and availed of our technical support team when necessary.
We installed ‘FM Workshop’ which is Fleetminder’s touch screen module for capturing real time labour and parts usage.
Before the introduction of Fleetminder the fitters had very little experience with computers but found the touch screen exceptionally easy to use.
The trial proved to be very successful not just for us but also to Pat and his staff.
Fleetminder is now fully live in Wicklow County Council and is assisting Pat his day to day and monthly responsibilities.
Ultimately, Fleetminder has made the fitter’s job a lot easier while giving the management all the records they require.

SMH Fleet Solutions – Martin Mc Auley
SMH Fleet Solutions have operated a Fleetminder system in three of our workshops for the last three years. Each of these workshops process in excess of 100 job cards each day and Fleet Minder manages both the workshop shopfloor activity, parts control, invoicing and payments. Our annual turnover through Fleetminder is in excess of £2 million.
Within 3 months of installing the FM system our sales revenue on a like for like basis increased by 8%. Analysis of this increase – using the Fleet Minder reporting systems, and comparing this information against the manual job card system previously used showed that a combination of lost job cards, parts either not booked or incorrectly booked to vehicles, jobs not correctly costed and workshop productivity, accounted for 90% of this figure. The remaining increase on a like for like basis fell into a miscellaneous category
The significant advantages FM has given our business over the last 3 years is the confidence that every chargeable activity and every part fitted is fully invoiced to the customer. In addition the ability to proactively manage the workshop in real time, improving shop floor efficiency has enabled the Company to reduce its headcount (the Fleetminder reporting enabling this headcount reduction to be very specifically targeted)
The system was installed in our 3 workshops over a 2 day period and the training completed within 3 further days. Given the intuitive, user friendly layout design of FM staff acceptance at all levels was seamless.
Over the period we have been using FM we have requested a number of modifications bespoke to our business requirements and where these have been requested these have always been supplied within 3 working days, most often within 24 hours. The level of support from FM for their product is first class.
The system has continually been updated at no cost to ourselves and during the cause of the last 3 years we have experience no system downtime as a result of software failings.
We had trialed and tested a number of alternative systems and found Fleetminder to be the most focused in workshop management and I would recommend the system for workshop management and be pleased to demonstrate its functionality and discuss its advantages should this be required.
The Driver and Vehicle Standards (DVS) is a unit of the Transport and Technical Service Department Jersey. DVS is responsible for the licensing of vehicles and drivers, including all matters connected with public service vehicles (buses, coaches and taxis)
Included in the DVS building is a two lane test station, one commercial and one car lane. PSV are examined annually as are certain heavy commercial vehicles. SUN (Snap-On) test equipment replaced the original equipment towards the end of 2000. Whilst DVS found the equipment to be acceptable the operating software was unreliable.
During a trip to the Isle of Man in 2008, the Head of DVS was introduced to personnel from ASC Software Limited. During discussions, ASC Software Limited informed the Head of DVS that the equipment could be updated and compatible operating software installed. This was contrary to advice obtained from others who had informed us that no update was possible and all the test equipment including computer hardware and software would have to be replaced.
ASC visited DVS in October and confirmed that they would, with the help of another company who are familiar with SUN, update the complete system. ASC supplied a quote which was accepted, provided the work could be completed by Christmas 2008.
ASC with the help of their SUN specialist completed the upgrade 1 week before Christmas and within budget.
The installed FleetMinder system in my opinion is first class. Its ease of use makes it a joy to use. Dealing with ASC has been commendable, contact with the helpdesk, although minimal, has been trouble free.
The biggest problem DVS could foresee was how was ASC’s FleetMinder going to interact with the DVS vehicle registration system (VRS)? It was necessary for ASC software to lookup and capture VRS information to produce examination forms. I am pleased to say that the software engineers/writers achieved this with little involvement from DVS, with ASC speaking to the VRS designers in the Ukraine! The whole project was completed with the minimum of disturbance to DVS’s everyday business and I can highly recommend ASC Software Ltd and their FleetMinder software.
